A new boiler should not be treated as complete simply because it is mounted on the wall and producing heat. The paperwork is the written record that the appliance has been installed, checked and set up for safe operation.

The key document is the commissioning record

Commissioning is the process of checking that the boiler and the connected heating system operate as intended. It is not the same as switching the appliance on and confirming that a radiator gets warm.

The engineer records information such as the boiler details, installation checks, operating settings and safety test results. The exact format depends on the boiler manufacturer and the installation, but the purpose remains the same: to create a clear record of how the system was left.

A proper commissioning process can identify problems that are not obvious during normal use. These might include incorrect gas pressure, unsuitable operating settings, poor condensate arrangements, inadequate system pressure or controls that have not been configured correctly. Finding those issues before handover is far better than leaving you to discover them through unreliable heating or repeated faults.

What the engineer checks before completing the handover

The paperwork should reflect checks carried out on the whole installation, not just the boiler casing. This can include:

  • The flue, which carries the boiler's exhaust gases outside, has been installed correctly and checked for safe operation.
  • The gas supply is suitable for the appliance and has been tested.
  • The condensate pipe, which carries away water produced by the boiler, is correctly connected and routed.
  • The heating system has been filled, had air removed and checked for leaks.
  • System pressure is appropriate for the installed arrangement.
  • Safety controls operate correctly.
  • The boiler, thermostat and programmer communicate properly.
  • The appliance has been set up in line with the manufacturer’s instructions.

The property itself affects what needs to be recorded. A straightforward replacement may use existing pipework and controls, while a change from one boiler type to another can involve a cylinder, altered water supplies, additional controls or more extensive pipework. The paperwork needs to match what was actually installed, rather than describing a standard replacement that does not reflect the finished system.

Gas safety and Building Regulations records

Gas work should be carried out by a Gas Safe Registered engineer. We are Gas Safe Registered and City and Guilds qualified, so gas safety checks form part of the installation process rather than being left to an unqualified installer or treated as a final visual check.

There may also be a Building Regulations notification connected with the installation. The process and document received can depend on the type of work and how it is registered. It is worth asking who is responsible for making the notification and how confirmation will reach you. Do not assume that a manufacturer booklet or commissioning sheet is the same thing as every compliance record.

Warranty registration is another reason to keep the documents together. The available manufacturer warranty depends on the boiler selected and the terms attached to that model. The paperwork should make clear what has been registered and what information you need to retain.

What to do before the engineer leaves

Ask for a clear explanation of the controls, pressure gauge and any user adjustments you are expected to make. Check that you know where the appliance information is stored and that you have received the commissioning and manufacturer documents relevant to your installation.

Keep the paperwork with other property documents. If another heating engineer needs to diagnose a fault later, accurate installation information can prevent guesswork. It also gives a future buyer or landlord a clearer record of the heating system.
